What is the ASA program?

The EFM is committed to promoting French culture and language. The ASA (After School Activities) program offers a range of extra-curricular, cultural and language activities, in a welcoming and stimulating environment at Caulfied Junior College. Children learn to play, explore and develop essential skills. EFM is a setting where children from all backgrounds can learn about each other and respect differences.

When are they taking place?

The After School Activities commences at 3.45pm and closes at 4.45pm Monday – Friday during school terms. After School Activities do not run on pupil free days or during school holidays. The Last Friday of term activities commence at 2.45pm and end at 3.45pm.

How to register?

All children participating must be enrolled via our online booking and payment platform Eventbrite. A booking link will be available on the website one week before the start on our website.

To speed up the process on mobile, we advise to create an account prior and login to the mobile app Android App or iOS App. Your payment details will be retained from the first booking (Credit Card, Google Pay, Paypal).

Our class can welcome between 12 and 18 students. Places are allocated on a first-come first-served basis. A booking is confirmed upon email receipt.

If you wish to register 2 children, you will need to repeat the process or ask another parent to book in parallel.

How much is it?

The price for activities is per term and includes an online booking fee from our vendor Eventbrite. It is based on the number of weeks, from 7 to 10 weeks.

Cancellation & Refund:

  • If you cancel your order before the start of the term (e.g. booking error), you will only be refunded the net price of the ticket as Eventbrite’s fees are non refundable unless the event is canceled.
  • Once the term begins, we do not issue any refunds, unless exception. If your child is absent, no refund will be made.

How can I stay informed?

You can join the mailing list online to be kept informed before the term. You can also “follow” our event page to be notified upon new publications.

How do I join the Waiting list?

If a class is full please join the Waiting list, when a class opens up, we will contact you on a ‘first-in first serve’ base by phone or email.

Where are they taking place?

Activities take place at Caulfield Junior College. Children must meet their teacher outside the main building under the porch at 3:30pm (See ‘Check-in’ in the school map below). If your child is in Prep, they will be collected from their classroom by the ASA Coordinator. Ensure they don’t forget the class!

Consent

We will collect parents’ consent during the booking process for the followings:

Medical treatement: If my child is sick or injured and I cannot be reached, I authorise the adult in charge to consent to medical, surgical treatment or first aid as needed.

Medical information sharing: I authorise the adult in charge of my child to share medical information with the ASA team and administer medicine if needed, if they are unable to contact me.

Enrolment policy: Fees payable on booking platform. No refunds after term start, no trial sessions, CJC code of conduct applies.

Photos: ASA sessions may include photos of children or their work to promote the EFM and ASA.

Absence

If your child is away on the day, please contact both the school AND the ASA Coordinator 0481165218. If we can’t reach any of the emergency contacts, we’ll have to call the police.

Pick-up

Ensure you are on time to pick up your child at 4.45pm. Parents or Guardian or nominated contacts on the check-in form must sign-out before taking your child from the classroom. If you are running late, contact the ASA Coordinator, if later than 5pm your child will be taken to Team Kids.

Snack

The students are usually hungry at 3.30pm so put an extra snack in their backpack for them to eat before the start of the activity.

Code of conduct

Parents are asked to discuss the following rules with their children and make sure they have a clear understanding of what is expected. If you have any questions, please consult the ASA coordinator.

  • No bullying or inappropriate behaviour. Always treat others how you would like to be treated. Children should listen to and respond to instructions from staff at all times.
  • Older children must be mindful of the impact of their behaviour on younger children, particularly if that behaviour appears to distress a younger child or appears to encourage inappropriate behaviour.

Indoors

  • Children cannot leave the After School Activities room unless given permission by an After School Activities staff member.
  • During the activity two children will accompany a child to the toilet. Every child will wash and dry their hands thoroughly before eating and after going to the bathroom.
  • Use ‘inside voices’ when indoors. No running inside. No throwing objects inside, including cushions, balls and beanbags.
  • All children are expected to help pack up games after using them and cleanup activities.

Outdoors

  • Shoes should be worn at all times when outdoors, with the exception of sandpit play and gym mats. Hats with broad brims must be worn outside in Terms 1 and 4, regardless of weather.
  • Children cannot leave the school boundaries or enter the school buildings unless given permission by an Aftercare staff member. Children must make sure they are in sight of an Aftercare staff member at all times.
  • When the group is in the courts, children must ask permission to leave. Children must ask permission to take sports and sand pit equipment outside and return what they take out.
  • No climbing trees or fences in any area of the school grounds. No bikes or scooters.

Health & Safety

Our ASA coordinator is responsible for the day to day operation of the program.

All After School Activities staff must comply with the School’s policies and procedures, including the school’s Child Safety and Code of Conduct.

Working With Children Check A Working With Children Check (WWCC) is a requirement for people who work or volunteer in child related work. It involves a national criminal history check and a review of findings of workplace misconduct. Our After School Activities Coordinator and Teachers are all WWCC compliant and subject to ongoing monitoring.

Parent concerns & feedback

Parents are encouraged to discuss concerns directly with the ASA Coordinator. All matters will be dealt with in a confidential manner and the coordinator will take the necessary steps to ensure the matter is dealt with expediently. If the complainant is not satisfied with the coordinator response, the concern is about the coordinator, or the concern is particularly serious or sensitive, the concern should be directed to the Committee EFM. Concerns will be handled in accordance with School policies.
